Receptionist - Colliers International

Description:
This position supports the entire office in the role at the front desk in addition to providing administrative support for several commercial real estate brokers.

  • Front Desk open and ready to answer phones sharply at 8:00 AM and
    turn off phones at 5:00 PM.

  • Maintain tidiness of conference room and front area in general.
    (Straighten chairs in conference room. Lighting in Lobby and Conference
    Rooms on at all times when business is open, blinds open and straight.
    Glasses/mugs cleared from conference rooms, as needed).

  • Greet guests, maintain sign in Guest/Client Log, notify of
    guest/client arrival. Provide coffee/water.

  • Check main company voice mail box daily (morning) and distribute
    messages as necessary.
     
  • Answer company phone lines within 3-4 rings, using articulate &
    professional mannerism with scripted dialog provided.

  • Transfer phone to night service when out of the office and change
    main greeting for Holiday(s) and other office closures (i.e. office closed
    on a regular open day).

  • Complete knowledge of ShoreTel VOIP phone system and ability to
    troubleshoot programming issues; calling for service and repair when
    necessary.

  • Complete knowledge of copier(s) and printer(s). Ability to place
    service calls and maintain service call log.

  • Pick up mail daily, sort into appropriate internal office mail
    boxes. Post and take mail to mailbox by 4:00 PM daily. Preparing Overnight
    shipments for brokers (as required).

  • Office Supplies:  Regular inventory of office supplies, place orders
    for supplies needed and take delivery of supplies delivered.

  • Kitchen Supplies:  Regular inventory of kitchen supplies making sure
    supplies being maintained by appropriate vendor(s) on a regular basis.

  • Pickup various newspapers delivered each morning and deliver to
    Kitchen area & specific subscribers.

  • Signing/Verifying for deliveries /Maintaining delivery log. Call
    Brokers/Staff when a delivery arrives.

  • Monthly office Calendar preparation and distribution.

  • Preparation of monthly phone duty and kitchen duty schedule. Weekly
    reminders to brokers/staff of kitchen duty and staff of phone duty.

  • Maintaining office phone listing & extension list for internal use;
    Maintain, on a daily basis, the scheduling for three (3) conference rooms;
    Occasional order of lunch items for meetings and parties that are held by
    Walnut Creek office.

  • Faxing: incoming and outgoing

  • Assisting with broker administrative support (as needed).

  • Always ask if there are questions on any of the above. Any other
    duties as assigned.
