Harsch Investment Properties is a dynamic, expanding real estate investment, development and management company, which owns and operates more than 130 properties throughout six Regional offices: Portland, Seattle, San Francisco Bay Area, Sacramento, San Diego and Las Vegas. The portfolio consists of over 21 million square feet of Office, Industrial Flex, and Retail commercial properties with over 1,000 Multi-Family housing units.
ESSENTIAL FUNCTIONS / TASKS:
- Preparation of lease proposals, lease documents, "redline" documents, and other correspondence or legal documents as directed.
- Compilation, organization and distribution of marketing materials and property information.
- Lease file management for tenant files and shared server drives.
- Update available commercial space on websites.
- Accurately coordinate, track and manage distribution of lease documents, including execution, file management and entry into Yardi system.
- Prepare and distribute vacancy, occupancy and related reports to managers and staff.
- Prepare and distribute meeting minutes from leasing meetings and conference calls.
- Work with legal department on lease language and alterations as directed by management.
- Maintain leasing binders with approved alternate lease language examples. Maintain property and vacancy binders with current, accurate information.
- Back up support to main switchboard phone lines for breaks, vacations and absences. Assist callers when key personnel are out of office.
- Back up support to front desk to greet incoming tenants, guests, vendors, etc., check out building keys and provide access for vendors through management as needed.
- Develop a working knowledge of property management reports, leasing reports and properties.
- Develop an excellent working knowledge of the Harsch lease documents and exhibits.
- Maintain all master lease forms and other forms related to the leasing of the properties and distribute as needed.
ADDITIONAL TASKS:
- Direct assistance to the Vice President, Regional Manager Create, prepare, and distribute correspondence and memos as needed.
- Photocopying, filing, and faxing as needed.
- Assist with organizing marketing events, promotions, and tenant appreciation events.
- Assist with printing marketing fliers and handouts.
- Assist with annual budget preparations.
- Assist with annual Common Area Maintenance reconciliations as needed.
- Attend staff meetings.
- Miscellaneous special projects, which may be assigned from time to time.
EDUCATION, EXPERIENCE, TRAINING OR SKILLS REQUIRED:
- High School Diploma. Prefer College Degree.
- Minimum five years administrative/office experience in working in a professional environment.
- Strong working knowledge of Microsoft Office Professional version, with strong emphasis on Word and Excel.
- Preferred experience in commercial real estate atmosphere.
- Must be proactive and forward thinking in the execution of their duties, highly organized with a strong attention to detail and enjoy working in a fast paced environment.
- Must be able to accurately type 65+ wpm, spell accurately and be able to compose and prepare correspondence.
- Requires professional telephone etiquette, use of good judgment in handling day-to-day issues as they occur.
- Ability to screen telephone calls, take accurate, detailed messages and respond to callers' needs when appropriate.
- Must be able to work with staff in a cooperative and flexible manner and manage workflow to complete projects in a timely manner.
- Excellent communication skills, attention to detail, and ability to follow directions.
- Ability to effectively use computer, Internet, calculator, fax machine, and postage machine.
LICENSE OR CERTIFICATE REQUIRED:
- Valid California driver license required.
Salary: $30,000-$50,000
